KUSA Online Frequently Asked Questions

Signing in and email addresses
Can I use my old Members’ Portal login details to access KUSA Online?
No. Login credentials created for the previous Members’ Portal cannot be used to sign in to KUSA Online.
What username must I use for KUSA Online?
Your username is the email address recorded against your details on the KUSA database.
This email address identifies and links your KUSA records, including:
- Your membership number
- Dogs registered in your name
- Your registered affix (kennel name), where applicable
It is therefore important that KUSA has your correct and current email address.
Can two or more people use the same email address for KUSA Online?
No. Each person using KUSA Online must have a unique email address. An email address cannot be shared across multiple KUSA records.
What must we do if an email address is currently shared?
Please contact the KUSA Office at This email address is being protected from spambots. You need JavaScript enabled to view it. and provide:
- The name of the person who must be assigned principal ownership of the shared email address; and
- A new, unique email address for each of the other people previously associated with it.
The KUSA Office must update these details before each person’s records can be linked correctly.

Transfers of ownership
Is consent required for a transfer of ownership?
Yes. When a transfer is initiated, the system sends a consent email to every current registered owner. Each current owner must click the link in the email to grant consent.
This applies to:
- Simultaneous transfers
- First transfers, for which no fee is payable
- Second and subsequent transfers, for which a fee may be payable
The transfer will not be processed until every current registered owner has granted consent electronically.
Why must I give consent if I initiated the transfer myself?
It is standard procedure for the person initiating the transfer to receive and approve a consent email, even if that person entered the transfer details on KUSA Online.
This is necessary because a dog may be registered in joint ownership. Although one owner may initiate the transfer, every current registered owner must consent before the transfer can be completed.
The same procedure therefore applies to all transfers, whether a dog has one owner or multiple owners.
What happens when a jointly owned dog is transferred?
The system sends a separate consent email to every current registered owner.
For example, if a dog has two registered owners and one of them initiates the transfer, both owners will receive consent emails. The dog will be transferred to the new owner only after both registered owners have granted consent by clicking the links in their emails.
Does the new owner need to approve the transfer?
The consent required to complete the transfer must be given by all the dog’s current registered owners.
Once the transfer has been completed, the new owner should receive an email confirming the transfer. The email address used for the transfer will also allow the new owner to register for KUSA Online and access the dog’s records.
Why is a transfer of ownership still pending?
The transfer may be awaiting consent from one or more of the current registered owners.
Every current owner must open the system-generated email and click the consent link. The application cannot proceed until all the required consents have been received.
If the dog is jointly owned, check that every registered owner and not only the person who initiated the transfer has completed this step.
What should I do if a transfer or consent email has not arrived?
First, check the recipient’s Junk or Spam folder, as system-generated emails may occasionally be filtered there.
If the email cannot be found, contact the KUSA Office at This email address is being protected from spambots. You need JavaScript enabled to view it.. Please provide the recipient’s email address so that the mail system can be checked and the matter referred to the technical team if necessary.
Who must pay for a second or subsequent transfer of ownership?
Under the current KUSA Online process, the applicable fee is payable by the person receiving the dog. A link to the invoice and payment portal will be provided within the email sent by the system.
Can the person initiating a transfer add the new owner’s affix to the dog’s name?
No. The person initiating the transfer cannot add an affix belonging to the new owner.
If the new owner is a KUSA member and wishes to add their affix as a suffix to the dog’s registered name, the new owner must do so after the transfer.
For the time being, please contact the KUSA Office at This email address is being protected from spambots. You need JavaScript enabled to view it. for assistance with adding the affix.
How long does the new owner have to add their affix?
The new owner has 10 days in which to add their affix as a suffix to the dog’s registered name at no charge.
This is permitted only if the affix:
- Is current; and
- Appears on the FCI International Kennel Name Register.
Registration certificates following a transfer
Should I download the dog’s Certificate of Registration before transferring the dog?
Yes. Before initiating the transfer, you should download and save a copy of the dog’s Certificate of Registration if you want a copy for your own records.
Once the transfer has been completed, the dog will no longer appear under My Dogs, and you will no longer be able to access its Certificate of Registration from that section.
If you are the breeder, the dog’s details may remain visible under My Litters, but this does not provide continued access to the certificate previously available under My Dogs.
Why can I no longer download the dog’s certificate after transferring it?
Once the transfer has been completed, you are no longer the dog’s registered owner. The dog is therefore removed from your My Dogs list, and you will no longer have access to its Certificate of Registration.
The new registered owner must sign in to KUSA Online to view and download the updated certificate.
How does the new owner access the dog’s Certificate of Registration?
The new owner must:
- Open the KUSA Online portal.
- Register as a new user if they do not already have an account.
- Use the same email address to which the transfer confirmation was sent.
- Sign in to view the dogs linked to that email address.
- Download the dog’s Certificate of Registration.
It is therefore important that the correct email address is entered when the transfer is initiated.
Can a person who is not a KUSA member register for KUSA Online?
Yes. A person does not need to be a KUSA member to register for KUSA Online.
The new owner must register using the same email address to which the transfer confirmation was sent. Once registered, the new owner will be able to view dogs linked to that email address and download their Certificates of Registration.
Can a non-member transfer the dog to someone else later?
Yes. The registered owner can sign in to KUSA Online and initiate a further transfer in the same manner, even if they are not a KUSA member.
A fee will be payable for a second or subsequent transfer.
Can the KUSA Office process a transfer on behalf of the registered owner?
Yes. As an alternative to completing the transfer through KUSA Online, the registered owner may email the KUSA Office and request that the transfer be processed on their behalf.
The request must include:
- The necessary transfer details; and
- Proof of payment of the applicable transfer fee.
Litter registrations
Who must consent to an online litter registration application?
The system sends consent emails to the relevant parties, including:
- The owner or owners of the dam
- The witness to the mating
- The owner or owners of the sire
Each person must click the link in their email to grant consent to the litter registration.
Why is a litter registration application still pending?
The application will remain pending until every required person has granted consent using the link in their system-generated email. The litter registration cannot be processed while any required consent remains outstanding.
You can check the current status of your application and the reason it has not yet been processed by opening Transactions or My Litters in KUSA Online.
Transferring puppies from a litter
Can a puppy be transferred to its new owner while the litter registration is still being processed?
No. A transfer cannot be initiated until the litter has been registered.
Once the litter registration has been completed, the breeder can initiate the transfer of each puppy to its new owner.
